Setting up the right roles, capability, and support for a successful rollout

Successful Squadify rollouts depend less on technology and more on having the right people prepared for their roles.

Before launching a pilot or wider rollout, organisations should ensure clear ownership of administration and governance, appropriate coaching capability in place, that team leaders understand what is expected of them, and that training is completed ahead of launch.

Preparing internal coaches

Coaches play a critical role in helping teams translate insight into action. Internal coach preparation includes understanding the Squadify model, familiarity with the platform and reports, and skill in debriefing data and supporting action planning.

Internal coach certification is delivered through a combination of e-learning and live sessions, enabling coaches to build confidence before supporting teams. You should consider allocating two to three weeks for Internal Coach Certification to give them time to complete the phases of e-learning, webinar, and practice within their normal working flow.

Preparing administrators

Administrators are responsible for setting up teams and workspaces, launching Squadifys, managing survey timelines, and supporting reporting and visibility.

Administrator training is delivered through short, on-demand learning and is designed to be completed quickly, fit alongside existing responsibilities, and enable administrators to operate independently.

Preparing team leaders

Team leaders do not need to be experts in the platform before launch, but they do need to understand what Squadify is (and is not), what will be asked of their team, how much time is required, and how they will be supported.

Clear positioning at this stage builds trust, increases participation, and reduces resistance during the first cycle.

When preparation should happen

Preparation typically happens after pilot scope or deployment options are agreed, before organisational communications are sent, and before any Squadifys are launched.

This sequencing ensures teams experience Squadify as intentional and well-supported, rather than rushed or experimental.

When the implementation team is prepared, launches run smoothly, team leaders feel supported rather than exposed, coaches focus on development not troubleshooting, data quality is higher, and confidence in the rollout increases rapidly.
